POSITION OVERVIEW


The Charters Towers Chamber of Commerce has an opening in the position of Secretary in our Executive Committee. The current Secretary Jean Robins is moving into the role of Acting Vice-President and we are extremely grateful to Jean, for taking this on!


The Chamber is an active member of our business community and is really starting to make traction with some great events and plans for 2022. We are actively seeking a Secretary to ensure our Committee and Organisation can continue to support businesses. If you are passionate about businesses and Charters Towers, this is a great opportunity to assist in supporting our Business Community.


The Chamber Committee meet once per month and communicate regularly throughout the month. In addition to the Committee Meetings, we have members’ General Meetings bi-monthly with a professional development/networking session the alternating month. The position is a voluntary position with excellent personal growth opportunities.


The Secretary’s duties include:

  • Collect, note and distribute all incoming mail and emails;

  • Prepare a report of incoming mail and outgoing mail for the General Meeting;

  • Write correspondence as required;

  • Maintain records;

  • Help prepare publicity reports;

  • Facilitate Committees with information etc.

  • Keep current the Membership Register; with business name, contact person, address, email addresses, etc.

  • Record, prepare and circulate Minutes of General Meetings and Management

  • Schedule meetings for president as required

  • Prepare for Committee and General Meetings as follows

    • Prepare the Agenda for meetings in consultation with the President and Management Committee members;

    • Send out a reminder of General Meeting with Agenda and supporting documentation during the week prior to the General Meeting;

    • Distribute to members via email, and as last resort by mail, any communications from the Management Meetings.

The position would suit someone with great organisational skills, experience in developing agendas, minute-taking and managing email effectively. Without these volunteer positions, small community groups like these cannot continue to operate - many hands make light work!
